1. Who we are

VM Improvements LLC (“VM Improvements”, “we”, “us”) is a kitchen remodeling company based at 686 Rubber Ave, Naugatuck, CT 06770, serving homeowners across Connecticut. This policy explains what personal information we collect, why we hold it, who can see it, and what you can ask us to do with it.

It covers both this website and our private client portal, where homeowners follow the progress of their own project.

2. What we collect

  • Your name and preferred name.
  • Email address and phone numbers (mobile and alternate), and how and when you prefer to be reached.
  • A second household contact — their name, relationship to you, phone and email — when you give it.
  • The property address and, if different, the billing address.
  • Property details such as property type, year built, whether you own or rent, and whether it is your primary residence.
  • Project information — kitchen size, layout notes, scope of work, target start date, and budget range.
  • Site access information — parking instructions, gate or door codes, alarm notes, pets on site, whether someone will be home, and any other access notes you give us.
  • Photographs of the property taken by our team during the work.
  • Messages, notes, and progress updates posted by our team about your project.
  • Documents we share with you, such as plans, specifications, and selections.
  • Payment schedule entries and change order records, including your approval of a change order.
  • Account credentials for the portal — your email address and a password stored only in hashed form.

We do not run advertising or tracking tools on this website, and we do not use cookies for advertising profiles.

3. Where the information comes from

Either you give it to us directly — through a form, a phone call, a text, or an email — or our staff record it during a consultation, a site visit, or the work itself. We do not buy personal information about you from data brokers.

4. Why we hold it

  • To quote, plan, and perform the remodeling work you have contracted with us.
  • To coordinate crews, deliveries, and site visits.
  • To keep you informed about your project through the portal, calls, and text messages.
  • To keep business records: contracts, change orders, payment schedules, and warranty history.
  • Marketing — only where you have given explicit, recorded consent (see the next section).

5. Photographs of your home

Our team photographs the work area during the project. These photos are how we document progress and how you follow the job day by day. By default, every photo of your project is shown only to you, inside your private portal, and to the VM Improvements staff and crew assigned to your job.

We use project photographs in marketing — our website, social media, print materials, and portfolio — only where you have given explicit consent and we have recorded it, together with the date it was given. Consent is voluntary and is never a condition of doing the work.

You can withdraw photo consent at any time by contacting us. We will stop using your images going forward and remove them from channels we control. Images already printed, or already shared and re-posted elsewhere, cannot always be recalled.

We do not publish identifiable client information alongside images. Your name, address, and contact details are never attached to a photograph we publish.

6. Site access information

Gate and door codes, alarm notes, pet information, and parking instructions are held so the crew can do the work. Inside the portal, this information is visible only to the crew assigned to your job and to authorized office staff — not to other clients, and not to crews on other jobs.

Please tell us when a code changes or is no longer valid so we can update it or remove it from our records. If you would rather we not store a code at all, tell us and we will arrange access another way.

7. Who can see what

  • Homeowners see only their own project — their photos, updates, documents, selections, payments, and change orders.
  • Installers and crew see only the jobs they are assigned to.
  • Office staff see what their role permits; broader access is limited to the owner and administrators.

These limits are enforced by the database itself, not only by what the screen shows, so a person cannot reach records outside their role by working around the interface.

8. Sharing

We share information with our own staff and with subcontractors working on your project, limited to what they need to do the job. We also use service providers who host this website, the portal, the database, and photo storage on our behalf, under agreements that limit them to providing that service.

We do not sell personal information, and we do not share it for targeted or cross-context behavioral advertising. We may disclose information where the law requires it, or to establish or defend a legal claim.

9. How long we keep it

Different kinds of information are kept for different lengths of time.

  • Your portal account: stays open for 6 months after your project is marked complete, so you can review and download what you need, and is then deactivated. Please download any photos or documents you want to keep before then.
  • Business records — your contract, change orders and approvals, the payment schedule, project photographs, and correspondence: kept for 7 years after project completion to meet tax, accounting, warranty, and legal-claim obligations, and then deleted or archived.
  • Site access information — gate and door codes, alarm notes and similar: deleted within 30 days of project completion. We have no reason to hold a live code to your home once the work is done.

You can ask us to delete information about you at any time. We honor those requests except where a record must be kept to meet the legal, tax, warranty, or claim-defense obligations described above. See our Terms of Use for how portal access works after completion.

10. Your rights

Connecticut's Data Privacy Act gives Connecticut residents the right to ask us to:

  • Confirm whether we hold personal information about you, and see what it is.
  • Get a copy of that information in a portable format.
  • Correct anything that is inaccurate.
  • Delete information we hold about you.
  • Withdraw photo and media consent at any time.

To make a request, contact us using the details in section 13. We may need to confirm your identity before we act. We will respond within 45 days, and may extend that once by another 45 days where the request is complex — we will tell you if that happens. If we decline a request, we will explain why, and you may appeal by replying to our response; we will answer an appeal within 60 days.

11. Security

Photos and documents are held in private storage, not on public URLs. When you open one in the portal, the link is generated on the spot and expires shortly afterward. Every person with access has an individual account — we do not use shared logins — and staff must set their own password on first sign-in. Actions that create, change, or delete records are written to an internal audit log.

No system is completely secure, and we do not guarantee that our safeguards cannot be defeated. If you believe your account has been compromised, contact us right away.

12. Children

The portal is not intended for anyone under 18, and we do not knowingly create accounts for or collect personal information from minors. If you believe a minor's information has reached us, contact us and we will remove it.

13. Calls and text messages

We call and send text messages (SMS) to the phone numbers you give us, so that we can run your project. Typical messages are project updates, scheduling and appointment coordination, and site access coordination on the day of a visit — for example letting you know the crew is on the way, or asking about a gate code.

These messages may be sent by a member of our team or through our messaging platform on their behalf. They relate directly to your project — they are not third-party marketing and your number is never sold or shared for advertising. Message frequency depends on what is happening on your job. Standard message and data rates from your carrier may apply.

By giving us your phone number — on this website, on a contact or intake form, or in conversation with our team — you agree that we may text you about your project. Message frequency varies with the stage of your job: it may be one message a month during planning, and several a week during demolition, delivery and installation.

You can ask us to stop texting you and to use calls only — or to stop calling and use text only — at any time, and it will not affect your project. Reply STOP to any text to opt out of messages, or reply HELP to get help and our contact details. You can also tell the person you are speaking with, or contact us using the details below. We record your preferred contact method on your client record.

We do not share your contact details, including your phone number, with third parties for marketing purposes. We use them only for communication directly related to our services.
